1. Introduction
This Payment & Cancellation Policy explains how payments, confirmations, cancellations, transfers, refunds, and travel credits are managed for journeys organised by Borderless Moto Tours (OPC) Private Limited ("Borderless Moto Tours", "we", "our", or "us").
Every Borderless journey is thoughtfully designed and carefully coordinated. From the moment your participation is confirmed, we begin making commitments with accommodation providers, vehicle partners, local hosts, activity operators, and other trusted suppliers. This policy is intended to be transparent, fair, and respectful to both our travellers and the local partners who help create each journey.
2. Journey Application & Confirmation
Submitting an application does not automatically reserve a place on a journey. Your participation becomes confirmed only after:
- Your application has been reviewed and accepted.
- You receive written confirmation from Borderless Moto Tours.
- The required initial payment has been received.
Until your participation is confirmed in writing, Borderless Moto Tours reserves the right to decline any application at its discretion.
3. Payment Schedule
Unless otherwise stated for a specific journey, the following payment schedule applies.
Initial Payment
A 20% non-refundable deposit of the total journey investment is required to confirm your participation. Your place is not reserved until this payment has been received.
Remaining Balance
The remaining balance must be paid according to the payment schedule communicated during your onboarding process.
Unless otherwise agreed in writing, the full balance must be received before the payment deadline provided by Borderless Moto Tours.
Failure to complete payment by the due date may result in cancellation of your confirmed participation.
4. Accepted Payment Methods
Payments may be made using approved payment methods communicated during the onboarding process, including:
- Bank Transfer
- Credit or Debit Card
- International Payment Gateway
- Other approved payment methods
Any bank charges, payment gateway fees, currency conversion costs, or international transfer fees are the responsibility of the traveller.
5. Currency
Journey investments may be quoted in:
- Euro (EUR)
- US Dollar (USD)
- Indian Rupees (INR)
The applicable currency will be communicated before payment. Exchange rate fluctuations after payment cannot be refunded.
6. Taxes
Where required by applicable law, payments may include:
- Goods and Services Tax (GST)
- Tax Collected at Source (TCS)
- Other applicable government taxes
Any applicable taxes will be clearly communicated before payment is requested.
7. Traveller Cancellation
If you choose to withdraw after your participation has been confirmed, the following cancellation policy applies.
More than 90 days before departure
- The 20% confirmation deposit is non-refundable.
- Any additional payments received may be refunded after deducting any unrecoverable third-party costs already committed on your behalf.
60–89 days before departure
Up to 50% of the total journey investment may become non-refundable, depending on supplier commitments already made.
30–59 days before departure
Up to 75% of the total journey investment may become non-refundable.
Less than 30 days before departure
No refund will normally be available. By this stage, accommodation, vehicle reservations, permits, local services, and other operational arrangements have generally been fully committed.
No-Show
If you fail to arrive at the agreed starting location without prior written notice, no refund will be available.
8. Non-Refundable Third-Party Commitments
Some expenses are paid to third-party suppliers soon after your participation is confirmed and may not be recoverable. These may include, but are not limited to:
- Accommodation deposits
- Vehicle reservations
- Ferry or transport bookings
- Entry permits
- Event tickets
- National park permits
- Local operator deposits
- Administrative fees already incurred
Where such costs cannot be recovered, they will be deducted from any refund for which you are otherwise eligible.
9. Transfer to Another Departure
Where operationally possible, Borderless Moto Tours may allow you to transfer your confirmed participation to another departure of the same or a similar journey.
Transfers:
- Are subject to availability;
- Are not guaranteed;
- May involve supplier or administrative charges;
- Remain entirely at the discretion of Borderless Moto Tours.
10. Replacement Traveller
In certain situations, another traveller may take your confirmed place. This may be permitted only if:
- The replacement traveller satisfies all journey requirements;
- Borderless Moto Tours approves the substitution;
- Our suppliers permit participant changes.
Additional administrative or supplier fees may apply.
11. Minimum Participant Requirement
Borderless Moto Tours specialises in small-group journeys. Some departures require a minimum number of confirmed participants to operate safely and sustainably. If this minimum is not reached, we may:
- Postpone the departure;
- Combine it with another scheduled departure;
- Offer an alternative journey;
- Offer a travel credit; or
- Provide a refund of payments received, subject to any unrecoverable third-party costs already incurred.
Whenever possible, we will inform affected travellers well in advance of the planned departure date.
12. Cancellation by Borderless Moto Tours
Occasionally, we may need to cancel or postpone a journey due to circumstances beyond our reasonable control, including:
- Natural disasters or severe weather
- Political instability or civil unrest
- Border closures or government restrictions
- Public health emergencies
- Safety concerns or supplier failure
- Other circumstances that make operating the journey unsafe or impractical
Where appropriate, travellers may be offered one or more of the following:
- Transfer to another departure;
- Travel credit;
- Partial or full refund of payments received, after deducting any non-recoverable third-party costs already committed on the traveller's behalf.
Borderless Moto Tours is not responsible for independent travel arrangements made separately by the traveller, including flights, visas, insurance, equipment purchases, or personal accommodation.
13. Travel Credits
Instead of a refund, Borderless Moto Tours may offer a Travel Credit, where appropriate. Unless otherwise stated:
- Travel Credits remain valid for 24 months from the date of issue.
- Travel Credits may be applied toward any eligible Borderless Moto Tours journey.
- Travel Credits may be transferred to another traveller only with prior written approval from Borderless Moto Tours.
- Travel Credits cannot normally be exchanged for cash.
14. Changes Requested by the Traveller
Requests such as changing departure dates, accommodation preferences, vehicle selection, adding or removing participants, or modifying optional services may incur additional supplier or administrative charges.
Where possible, we will always try to accommodate reasonable requests.
15. Refund Processing
Approved refunds are generally processed within 14–30 business days after the refundable amount has been confirmed. Actual processing times may vary depending on:
- Banking systems, payment providers, or card issuers;
- International transfer processing and currency conversion.
16. Travel Insurance
We strongly recommend that every traveller obtains comprehensive travel insurance before the journey begins. Your insurance should ideally cover trip cancellation, medical treatment, emergency evacuation, personal accident, lost or delayed baggage, travel delays, and personal liability.
Travel insurance is the traveller's responsibility unless explicitly included within a specific journey.
17. Force Majeure
Borderless Moto Tours shall not be liable for delays, changes, cancellations, or interruptions resulting from events beyond our reasonable control, including but not limited to natural disasters, war, terrorism, civil unrest, epidemics or pandemics, government actions, border closures, strikes, transportation disruptions, or severe weather.
Where reasonably possible, we will work with travellers and suppliers to identify fair and practical alternatives.
